Microsoft Exchange is used in a variety of businesses, organizations, and other corporations that require the fast and reliable advantages of this software. In marketing the ability to convey and direct mail and messages in and out rapidly allows for a very efficient way of managing communications. In the IT profession Exchange has revolutionized the email system of many of these high tech businesses. Exchange according to Shimonski and Conrow (2005), “that when this system is optimized to its potential in varying enterprises it is a cut above the rest”.
Prior to groupware systems such as Lotus and/or Exchange, lack of efficiency in communication practices was detrimental to the performance of these companies. As these operating systems gained momentum businesses realized that the loss of time on work projects was minimized, creating very successful enterprises. As group communication becomes more integrated Exchange allows for a wide range of clients that it can serve, these include Outlook 2003, POP3, Browser based clients, Pocket Outlook, and a few others. The importance of this is that with higher technologies the possibilities seem endless. As Exchange will be able to combine these mailing capabilities with the wave of home businesses that rely on well-organized, accurate, yet simplistic mailing and or communication systems.

Our recommendation is that you should definitely utilize a groupware system into your business. However, we find that Microsoft Exchange is not the way to go. As our research entails this system is created and works best for larger corporations. Novell GroupWise, as promising as it looks, is presumably on the decline with lagging economic numbers in the last year or so. Although a recent announcement, that they would have a newer version in the beginning of 2006, might be worth looking at in the future. In our research we discovered that there are numerous providers of the Exchange system, some of them include Bright Work, Red Earth, Team Scope, Opus-I Inc, and these are just a few of them. This might looking promising, however, this doesn’t make up for the fact that most of Exchange is still for bigger corporations.
Over the last few weeks, our team has come to realize that Exchange maybe more appealing on paper, but it is not the better choice. Therefore, Lotus Notes is the better way to go. They are considered the originators of the modern Groupware and have years of experience. They continue to make their Notes programs friendlier, more efficient, and cheaper to obtain with out all the complexities involved. Lotus Notes allows for more control by the user than the system. This is the complete opposite of what Exchange is and it is because of this that we recommend that you should incorporate Lotus Notes over the other two.
