A major problem that many small equipment rental and sales companies face today is making parts ordering more efficient and less time consuming. Northside Tool Rental of Georgia is one such company facing this problem. When replacement parts need ordering for a certain piece of equipment, an employee must manually search hardcopy information stored in filing cabinets or contact the manufacturer by phone to obtain the needed information. Rarely can the needed parts information be found electronically. This is time consuming and inefficient. Once the parts information has been obtained, it is necessary to determine whether it is more cost-effective to order directly from the manufacture or from an after market parts dealer. A purchase order is often needed and has to be manually completed. Total time to order one part for a piece of equipment can take almost 2 hours. This can lead to frustration for both the employee and the customer. |

Clearly a system is needed to allow an employee to find all necessary information in a centralized location. The system also needs to be integrated with the rental company’s current software. All information will to be compiled into one or more relational databases using a user-friendly interface. The system will incorporate both OEM and aftermarket listings. With this integrated system, an employee will be able to pull up a parts breakdown by using the part number, the manufacture of the equipment, or the store-assigned serial number. Once the part information is found and the most cost effective route is determined, an employee can process a PO electronically. This system will effectively reduce the lookup time to approximately 10 minutes. |
